The short version

Players are first-name only. We don't collect children's contact, medical or sensitive data. We never sell your data or use it for ads. It's private to your account, and you can delete everything at any time from Settings.

Who we are

HERFIELD Playbook (“the app”, “we”, “us”) is a coaching companion for grassroots girls' football. The app is coach-led: coaches create an account to plan sessions, manage matchday rotations, track attendance and support their players.

This policy explains what data we handle, why, and the choices you have. Data controller: [your legal entity / club]. Questions: hello@herfieldfootball.com.

The accounts we hold

Coaches sign in with their email or a Google account. We store the coach's name and email to identify the account.

An optional parent portal lets a parent sign in to see updates about their own child only. Parents can see nothing about other children.

There are no player logins. Players never hold accounts and cannot sign in.

Player data & children

Players are recorded by first name only. The app is deliberately designed so coaches do not enter child contact details, addresses, full dates of birth, medical information or other sensitive personal data.

Coaching records a coach may enter about a player include: attendance, minutes played, confidence/effort signals, session notes and challenges. This exists to help the coach support the child's development and game time.

Because this concerns children's data, we minimise what is collected, keep it private to the coach's account, and never use it for advertising or profiling.

How we use data

We use the data only to provide the app's coaching features to you: showing your squad, generating rotations and fair-minutes, tracking attendance, and producing the private parent updates you choose to publish.

We do not sell your data. We do not use it for advertising. We do not share it publicly.

Where data is stored

The app runs on the Base44 platform, which hosts the app and stores your data securely on our behalf as a processor. Data is transmitted over encrypted connections (HTTPS).

Sign-in with Google uses Google's authentication only to verify your identity; we receive your name and email, not your Google password.

Keeping & deleting your data

We keep your data for as long as your account is active. You can delete your account at any time from Settings → Delete account. Deleting your account permanently removes your club, teams, players, sessions, plans, minutes and checklists. This cannot be undone.

You can also contact us at hello@herfieldfootball.com to request access to, correction of, or deletion of your data.

Your rights

Under UK/EU data protection law you have rights to access, correct, delete and port your data, and to object to or restrict certain processing. To exercise any of these, contact hello@herfieldfootball.com.

If a coach records data about a child, the coach is responsible for having an appropriate basis to do so under their club's safeguarding and data policies.

Changes to this policy

We may update this policy as the app evolves. Material changes will be reflected here with a new “Last updated” date.
